General entry rules:
1. I agree registration in the event is personal to me and I cannot permit another person as my substitute nor transfer my entry to another person.
2. If my contact details change after my registration is completed, it is my responsibility to notify the race organiser my email at playground@matamatafutures.co.nz.
3. I understand as a general rule no refunds will be issued for any event entry, including where the event is cancelled for any reason.
4. The race organiser will not be responsible for costs incurred due to the event being cancelled or rescheduled, except as required by law.
5. I declare all information which is supplied by me to register for the event is true and correct.
6. I will provide an emergency contact name and phone number and agree the race organiser may contact that person and exchange my personal information with them in an emergency situation.
7. I understand I can gain access to my personal information and request my details be updated if they change by contacting Matamata Futures at playground@matamatafutures.co.nz.
8. If I am a member of a team, the team manager may provide my personal details to register me for the event and the team manager (or person who submits entries) undertakes to make team members aware of these terms and conditions.
9. I declare I am 18 years old or the parent or legal guardian of the participant who is under the age of 18 years and have read and understand these terms of entry. If signing this on behalf of a participant under the age of 10 years competing in the 5k event, that participant will be accompanied by an adult at all times during the event.
General event rules:
10. I will adhere to all event rules, terms and conditions of entry and directions from race organisers and course marshals. I must follow the approved course and obey all instructions. The race organiser reserves to right in its absolute discretion to cancel my entry or disqualify me at any time and after that time, the race organiser takes no responsibility for me. The race organiser or Matamata Futures will not be obligated to refund any portion of the race fee.
11. We will endeavour to ensure the course is clear for participants, but despite this it is your responsibility to know and follow the correct course – this is especially important for those at the very front and very back of the field.
12. I understand and accept that the race organisers reserve the right to change or modify any part of the event, including the date, course and location at any time (and from time to time). Details will be communicated via email, event social media channels (including the event page, project page and Matamata Community Notices). The race organisers will not be responsible for any costs incurred as a result of the event being modified.
13. I understand the race organisers reserve the right to cancel the event at any time in their absolute and sole discretion. Such circumstances may include but are not limited to a force majeure event including war, civil disturbance, acts of God, epidemic or pandemic or potentially dangerous conditions due to weather.
14. In the event a single event is cancelled, due to the purpose of this event as a fundraiser for the new Matamata Playground (Project Play), a refund will not be provided. If possible, a decision may be made to defer a single race within the series to a later date however this is not guaranteed and subject to the absolute discretion of the race organiser.
15. I acknowledge that I may be removed from the race area (by race organisers, security or other law enforcement personnel) and/or be excluded from participation in the event if:
a. My behaviour is inappropriate, offensive or abusive.
b. To prevent damage to any property.
c. On medical or health and safety grounds (including to prevent possible harm or injury to myself or any other person).
d. I have or are suspected of cheating or exhibiting aggressive or unsportsmanlike conduct.
16. During the race, I acknowledge and agree to wear the official race bib on the front of my body in a visible position at all times to ensure it can be seen at all times.
17. I acknowledge that if I start earlier than the race begins, or if I cut any corners or fail to complete a section, I will be disqualified.
18. I acknowledge that roller skates, roller blades, skateboards, bicycles, scooters or other motorises or gear vehicles are not permitted on the course.
19. Any equipment that may cause injury to myself or others is not permitted. Prams or wheelchairs will be permitted on the course provided due care is taken and it does not create a safety hazard at any time.
20. The consumption of alcohol is not permitted on the course or at race headquarters, and being under the influence of alcohol or drugs is strictly prohibited.
21. Timing services will be provided, and I understand and acknowledge the race organisers will use their best endeavours to accurately record data, however the race organisers take no responsibility for errors or omissions in the timing data.
Health and medical:
22. As a condition of entry, I confirm I have undertaken sufficient and appropriate training for the event.
23. I am not aware of any illness, injury or death during or as a result of my participation in the event.
24. I consent to receive such medical aid or preventative treatment which may be deemed advisable in the unfettered direction of medical personnel in the event of any injury, accident or illness to me during my participation in the event.
25. I consent to the release of my personal information to medical assistance personnel and event organisers in the event of a medical emergency during my participation in the event.
Indemnity:
26. I enter entirely at my own risk and accept all risks associated with participating in the event including but not limited to injury (temporary or permanent) or loss of life.
27. I rely on my own assessment of any risks and hazards before participating.
28. To the fullest extent permissible by law, I release all persons and entities associated directly or indirectly with the event, including (but not limited to) race organisers, Matamata Futures (including its trustees and subcommittees), Matamata Piako District Council (who has control over the land), sponsors, contractors, suppliers, volunteers and medical personnel against all claims, demands or proceedings arising from my participation and indemnify such persons and entities against all liability, loss or damage and including the cost of defend or settle any claim, action or proceeding. This release and indemnity continues forever and binds my heirs, executors, personal representatives and assigns.
Media and promotion:
29. I consent to the collection, publication and/or use in any form of media whatsoever of my name, result, image, video, voice, statement or otherwise (including the publication of my name and/or result and applicable age bracket in any communications or publications, online, in print and/or on the website) without payment or compensation.
